What is the difference between a team and a channel in Microsoft Teams?

A team is a group of people gathered to get something big done in your organization. Sometimes it’s your whole organization. Teams are made up of channels, which are the conversations you have with your teammates. Each channel is dedicated to a specific topic, department, or project. For example, the Mark 8 Project team has General, Design, Digital Assets Web, Go to Market Plan, and Research and Development channels, All the conversations, meetings, files, and apps in the Design channel have to do with design, and everything in this channel is visible to everyone on the Mark 8 Project team.

Channels are where the work actually gets done—where text, audio, and video conversations open to the whole team happen, where files are shared, and where apps are added, While channel conversations are public, chats are just between you and someone else (or a group of people). Think of them like instant messages in Skype for Business or other messaging apps.

If you’re working in Teams offline, or on a low-bandwidth network, you’ll be able to switch between chats and channels and keep working. You’ll see everything from the last time we were able to sync to your network, and we’ll trickle messages in as bandwidth allows.

Does creating a team create a group?

What is Microsoft Teams? – Microsoft Teams is a chat-based collaboration platform, also known as the “hub for teamwork” within Microsoft’s productivity suite. This app is built on top of the Microsoft 365 Groups platform. Every time you create a team from Microsoft Teams, you’re also creating a group, in the back-end, that is associated with this team.

  1. Alternatively, you can also create a team from an existing group knowing that the group’s membership, roles, and permissions will carry over to your newly created team.
  2. Don’t worry, we’ll talk more about the many ways you can create a team in the next article in this series.
  3. Teams is what users actually work in on a daily basis, but much of its functionality is derived from Microsoft 365 Groups and its associated services.

This is why Teams is sometimes referred to as the window into the Microsoft 365 productivity suite. If you’re new to Microsoft Teams and wondering what it is, Microsoft Teams is a powerful collaboration platform that allows teams to communicate and work together seamlessly.

In order to use Microsoft Teams to its full potential, you need to understand how it interacts with SharePoint. Microsoft MVP Jasper Oosterveld explains how Teams and SharePoint work together As we previously mentioned, when you create a new team, a Microsoft 365 group gets created. In addition to this, a SharePoint site also gets created in the back-end.

While Teams allows users to communicate and collaborate in real-time, the various files and documents that are shared within a team aren’t actually stored there. This functionality is provided by SharePoint (and other services, as demonstrated in Microsoft Teams’ IT architecture ).

As such, SharePoint enhances the overall Teams experience by acting as the centralized place where all the content and files that users share wihin the team are stored. This enables users to collaborate on documents together and ensures that everyone has access to the things they need to get the job done, whenever they need it.

For example, you create the “Marketing team” in Teams to start talking to and working with your colleagues within the marketing team. Unbeknownst to you, a SharePoint site named “Marketing team” is created at the same time, which allows you and the other team members to collaborate on documents shared within the team.

  • This is just one of the ways that SharePoint can be used.
  • Further Reading: How to use SharePoint Online and SharePoint Online best practices : tips, tricks & common issues to avoid The Files tab displays all of a team’s files, which are stored in the SharePoint team site.
  • No surprise there, right? The out-of-the-box shared documents library is used to store the files, with each channel within the team getting its own folder.

You can work directly within the Microsoft Teams app with Files, or you can use SharePoint. That’s up to you, you’re in charge! So, to recap: Teams is:

A chat tool, first and foremost. A hub of productivity, representing a new way of collaborating.

Teams is not:

A place to store files. The files you see stored in the Files tab aren’t stored there. It’s showing your team’s files that are stored on your team’s team site in SharePoint.

Good to know:

Microsoft Teams and SharePoint are united by a Microsoft 365 group Every time you create a new team in Teams, you’re also creating a new Microsoft 365 group, Calendar, Planner, and SharePoint team site For every channel you create in Teams, a folder within a SharePoint document library is automatically created for you When you click on the Files tab within a channel in Teams, the files you see are stored in a document library on a SharePoint team site

So, to bring it full circle, Teams is the hub for teamwork, where the work gets done, SharePoint comes into the mix with its content storage and file sharing capabilities, and Groups brings it all together, uniting the two on the backend by managing how users can use these apps.

Should I create a new team or a new channel?

When to Create a Team vs Channel: Microsoft Teams 2023 Last Updated on April 3, 2023 Are you wondering whether to create a new team or a channel? Don’t worry, you’re not alone in this dilemma. After all, what’s the difference between teams and channels, and what’s the merit of choosing one over the other?

  • In this article, let’s talk about when to create a team vs channel in Microsoft Teams and solve this problem once and for all.
  • Let’s get started.
  • Before I go on and share my insights, let’s take a moment first and identify the differences between teams and channels.

Well, the app itself is named after “teams”. Think of a team in Microsoft Teams as a collaboration space that brings users together. Right inside a team, you can create different channels where the conversations (chat and video calls) happen. When you create a new team in the app, the system automatically creates a behind the scenes. Note : You can have a maximum of 500,000 teams within the organization.

  1. Every time you create a team, the system automatically creates the “General” channel — although you can always create more channels.
  2. Many times, users create channels that correspond to different departments or topics where users can contribute to the discussion.
  3. Note : You can have a maximum of 200 standard channels and 30 private channels (only specific members have access) per team.
  4. Unfortunately, you can’t convert a channel into a team.
  5. That’s because in the back-end, creating a team is like creating a separate site or space while creating a channel is like creating a page on a site.
  6. On the other hand, you can always easily create a channel inside a team:

Sign up for exclusive updates, tips, and strategies A team is always better than a channel in terms of features. If a channel is a page, then a team is a site. Furthermore, you will face lesser limitations when you directly create a new team instead of sticking to a new channel. Here are specific reasons why it’s better to create a team instead:

  • Designated area for discussions and file storage-specific for that team only
  • Content and resources shared with other members unrelated to other teams
  • Potential divisions or separations of threads, conversations, etc. for that team

On the other hand, there may be instances when creating a team is overkill for the reason or task at hand. Here are some cases where creating a channel will suffice:

  • Designated area for discussions related to the existing team (and this is all you need)
  • Chat with current members of the team

Naturally, when you opt with creating only a channel, that means you can have an internal place for discussion though you may be sharing resources with the rest. Do you have more questions regarding when to create a team vs a channel? If so, kindly comment with your question below.

| : When to Create a Team vs Channel: Microsoft Teams 2023

When should I create a channel or team?

So, a Microsoft Teams team or a channel? – There’s no universal answer to the question of whether you need to create a team or a channel. There are several points you should consider before deciding what’s going to work best for you. How many people need to be involved in the collaboration process? Would you like all of them to have the same level of access to the same data? Do the same people already form a part of another team? If they do and their collaboration topic is connected to this team, then a channel could be a better solution.

And if you don’t wish other teammates to have access to their discussions, you can make this channel private. At the same time, it’s important to consider collaboration intensity. If you and your team go back to the subject over and over again and a lot of work revolves around it, then it deserves a separate workspace where you could have focused discussions, store and share all your data, and keep track of the progress without distractions on any other topics.

And if you’d like to make it easier on your team and not wonder anymore whether you need to create a team or a channel, you can templatize your collaborative processes with Collaboration Templates and create your own Template Catalog for any use case your organization has. Contact our team if you’re looking to structure and improve your collaborative processes.

Is a team the same as a channel?

Try it! – In Microsoft Teams, teams are groups of people brought together for work, projects, or common interests. Teams are made up of two types of channels — standard (available and visible to everyone) and private (focused, private conversations with a specific audience).

Can I have two Microsoft Teams?

Log out of the Teams application and back in with the other account as needed. Unfortunately, Teams doesn’t allow for multiple accounts in Teams unless one of them is a personal account. Multiple non-personal accounts connected to employers, schools, and other organizations cannot both be logged into Teams at one time.

How do I create multiple Teams in Windows?

One of my least favourite features of Microsoft Teams is the tenant switching. If a customer has added me to a Team in their tenant, I have to switch to theirs and log in whenever I want to access or share something with them. If I am on a Teams call in my company’s Teams tenant, I have to end the call to access something from another tenant. Shared Channels is a feature being released by Microsoft this year (2022) that will help solve that issue. More info here. But for now, I like to run multiple instances of Teams to access another tenant while logged into my own. What I mean by multiple instances is the ability to have more than one Teams window open at one time on my computer. To do this, open up any browser and log in to Teams online with the exact login details I use for the desktop app. Then click on the three dots and choose more tools > create a shortcut, A box will appear asking to create a shortcut. Name the window whatever you want, and make sure you select open as a window, Once I do that, it will open a Teams windows so now I have 2 on my desktop: I love having 2 instances of Teams, even if I don’t need to login to another tenant, I can use one for viewing a specific channel, the other for chat or calendar.
